These Terms & Conditions govern your access and use of the Ezy Agent CRM platform and services. By accessing our website, registering an account, or using our lead and customer management solutions, you agree to be bound by these Terms and our Privacy Policy.

1. Eligibility

To use our services, you must:

  • Be at least 18 years old
  • Have the authority to bind your company or employer
  • Agree to these Terms

2. Description of Service

Ezy Agent provides a comprehensive CRM platform for insurance agents, including:

  • Lead management and tracking with customizable lead stages and scoring
  • Customer relationship management for both personal and commercial customers
  • Policy management and tracking (policy numbers, effective dates, renewals, premiums)
  • Appointment scheduling and calendar management via integrated calendars
  • Campaign management for scheduled and event-based marketing campaigns
  • Email reading and sending capabilities (with your explicit permission)
  • Message templates and communication tools
  • ACORD forms and custom form management
  • Team collaboration with role-based permissions
  • Document storage and management
  • Integration with third-party services (Google Calendar, Microsoft Outlook, email providers)

3. Email Permissions and Access

Ezy Agent may request permission to access your email account for reading and sending emails. By granting these permissions, you authorize Ezy Agent to:

  • Read emails from your connected email account(s)
  • Send emails on your behalf for CRM-related communications
  • Sync email conversations with your CRM records
  • Extract lead and customer information from emails

Email permissions are optional and can be revoked at any time through your account settings. You are responsible for ensuring that you have the right to grant access to any email account you connect to Ezy Agent.

Ezy Agent will only use email access for CRM functionality and will not use your email data for advertising, marketing to third parties, or any purpose unrelated to providing the CRM service.

4. Workspace API Compliance

If you connect your Google account to Ezy Agent (including Gmail for email access), our use of Workspace user data will comply with theWorkspace API User Data Policy, including theLimited Use requirements.

We affirm that Ezy Agent only uses Workspace user data (including email data via Gmail API) in compliance with theLimited Use requirementsand does not use this data for any purpose other than providing or improving user-facing features that are visible and prominent in the requesting application's user interface. We do not transfer or sell Workspace user data to third parties, nor do we use it for advertising or unrelated purposes.

5. Account Responsibilities

  • Provide accurate and complete information
  • Maintain confidentiality of login credentials
  • Notify us immediately of any unauthorized use

6. Payment & Billing

  • All fees are billed monthly or annually via secure payment gateways
  • You may cancel your subscription anytime; cancellations are not retroactive
  • Refunds are only issued where legally required

7. Acceptable Use

You agree not to:

  • Violate any applicable laws or regulations
  • Use the platform to harass, threaten, or defame
  • Reverse-engineer, resell, or misuse the software

8. Ownership & Intellectual Property

  • All trademarks, logos, and software are the property of Cloudmate Technologies LLP
  • You may not use our branding or materials without written permission
  • You retain all rights to your content, but grant us a license to use it to provide services

9. Confidentiality

Both parties agree to keep confidential any business, technical, or proprietary information shared under this agreement.

10. Limitation of Liability

  • We are not liable for indirect, special, or consequential damages
  • Our total liability is limited to the fees paid by you in the preceding 12 months
  • We are not liable for issues caused by third-party integrations or platforms

11. Indemnification

You agree to indemnify and hold harmless Ezy Agent from any claims, damages, or liabilities arising out of:

  • Your use of the service
  • Violation of these Terms
  • Third-party disputes involving your use of Ezy Agent

12. Termination

We reserve the right to suspend or terminate your access:

  • If you breach these Terms
  • For inactivity or non-payment
  • As required by law

13. Governing Law

These Terms are governed by the laws of California, and any legal action shall be filed in the courts located in San Francisco County.

14. Force Majeure

We are not responsible for delays or failures caused by events beyond our control (natural disasters, war, service outages, etc.).

15. Modifications

We may revise these Terms at any time. Continued use of the platform after such updates means you accept the changes.
